In a recent conversation with Silvian Nanarjain, Group Manager HRIS & Strategic Projects at De Heus, he shared how the org.mapper has simplified data management, improved data accuracy, and minimized issues during the survey process.

Meet De Heus  

De Heus is a multinational organization, now in its fourth generation of family management, dedicated to improving access to safe and healthy food globally. They support their customers—ranging from small farmers to large agricultural businesses—by providing high quality animal feed products and services for sustainable development. 

We spoke with Silvian Nanarjain to better understand the organization’s HR structure and how they use the org.mapper to improve their surveying processes.  

With extensive expertise in HR IT, Change Management, and Project Management, Silvian is helping De Heus professionalize its HR IT landscape and optimize its HR processes and data management. 

He shared his insights into de Heus’ current HR landscape, the challenges they faced before using the org.mapper, and what changed since the implementation of this tool. 

A complex HR landscape

De Heus manages over 10,000 employees spread across 20 countries without a global HR system in place yet to cover core employee data, complicating tasks like surveying all employees.  

Despite these challenges, the organization continues to strive for effective HR management and employee engagement. 

The challenges they faced 

Conducting organization-wide surveys at De Heus was time-consuming and error-prone due to their scattered HR IT landscape. The process involved handling multiple Excel files and extensive data validation and cleansing. 

Silvian explained that setting up a survey involved each country extracting employee data locally. They then spent considerable time checking the accuracy of this employee data.  

This labor-intensive process required combining various Excel files from different countries in the right template for Effectory’s survey platform. As Silvian noted:

Before the org.mapper, we had to compile Excel files from 15-20 different countries […] – a lot of data cleansing and data checks before we could send out a survey. It was quite a lot of manual work.

How the org.mapper helped 

Org.mapper transformed the surveying process for De Heus. The tool allowed them to request employee data files from different country offices without needing initial data cleansing. With the support of our experts, De Heus could easily integrate this data into the org.mapper. They could then view, check, and adjust employee information visually before starting the survey. 

The data was formatted correctly for identifying the right employees, making it simple to transfer it to My Effectory, our survey platform. Additionally, our experts helped build De Heus’ management hierarchy, enabling the organization to report on team levels.  

This setup was required only once. The hierarchy is saved for future surveys, allowing a faster setup next time. It can also be easily updated when new employees join or others leave.  

Nanarjain explained that this method was easier, saving significant time and reducing errors:

The tool itself is quite easy to use and secured […] we could easily adjust the data or change the hierarchy, we could switch the employees to a different manager. If you do it in Excel, it takes more time, and it’s also more error prone. And if you have some errors in Excel, then you probably get lost with a big data file.”

Positive changes 

Using org.mapper has saved significant time for De Heus. Although they couldn’t provide exact numbers, Silvian estimated about a 30% reduction in time spent on employee data management. Additionally, it has led to more accurate data and fewer issues during the survey process:

It’s definitely a reduction […] there’s I think, hours that you’re saving with the org.mapper. We see about 30% less time spent on organizing data. Next to reducing time, we also see more data accuracy

Looking ahead  

De Heus plans to keep using org.mapper for future surveys and is looking at other ways to improve their employee feedback methods with Effectory. The tool has been very helpful for their HR tasks, especially given their complex, multinational setup.
